How add entities and assign users in PaymentsHub

Create customised workflows for individual users
Entity Management in PaymentsHub allows you to assign users to different entities you control. This ensures users only have access to what they need, and separate workflows for a better and more secure experience.

Here, we’ll look at how to link an existing entity on Concur into Payments Hub and how to assign a user to different entities. This functionality is only available to Master Users.

how to link an existing entity into  PaymentsHUB

Step 1. Entities must be set-up in your Concur platform already before you can add and assign them within PaymentsHub.

To link them to PaymentsHub, you will need the following details, which can be gathered in SAP Concur:
> Source field
> Destination
> FieldKey ("Item Code")
> Value ("Item Name")


Step 2. On PaymentsHub, go to the admin panel (click username on top right) and select Entity Management.


You can also remove any limitation of access of different users to different entities if you wish in this panel. In the system, Entity Management is automatically turned on.


Step 3. Select the Source field related to the entity details on your Concur Platform.

Step 4. Click ‘Add Entity’ and fill in the ‘Key’ and ‘Entity’ fields. Please note, these must correspond exactly to how they are named in Concur, included letter cases and spacing etc.


You can also link to this entity to Existing Invoices at this point if you wish to.


how to assign a user to an entity on PaymentsHUB

Step 1. In the Entity Management panel, click the user icon.

Step 2. Select which users you want to assign to that entity.

Step 3. You can also assign users to individual bank accounts which you want them to manage. First, click the bank icon beside the chosen entity.
Step 4. Then select the bank account(s) you want to give the user access to.

reviewing and managing paid and unpaid invoice Payments

Step 1.  Users will only see the invoices assigned to them in the Unpaid and Paid Invoice sections, with their Entity included as an additional data field.
